If you have the Webex application installed, you can join any meeting when the <strong>Join <\/strong>button next to the meeting name becomes green. If you do not have the Webex application installed, you can start or join a meeting in several different ways. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Launching a Session<\/h2>\n\n\n\n<p>You can start a Webex meeting in one of three ways. Click the options below for details. <\/p>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-87690\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Starting a &#8216;Personal Room&#8217; meeting from the Webex portal<\/strong><\/h4><div id=\"ac-87690\" class=\"c-accordion__content\">\n<ul class=\"wp-block-list\"><li>Go to your <a rel=\"noreferrer noopener\" href=\"https:\/\/mun.webex.com\/\" target=\"_blank\">Webex dashboard<\/a>. <\/li><li>If you want to start an unscheduled ad-hoc meeting that does not require a password, your <strong>Personal Room<\/strong> in Webex may be the best option. <\/li><li>Press the copy button to the right of your <strong>Personal Room<\/strong> and send that link to whomever you want to join. <\/li><li>Select <em>Start a Meeting<\/em>.&nbsp;You will be directed to your <strong>Personal Room<\/strong> in Webex.&nbsp;<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-style-default border\"><img loading=\"lazy\" decoding=\"async\" width=\"844\" height=\"291\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/WebExPersonalRoom.png\" alt=\"\" class=\"wp-image-8771\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/WebExPersonalRoom.png 844w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/WebExPersonalRoom-300x103.png 300w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/WebExPersonalRoom-768x265.png 768w\" sizes=\"auto, (max-width: 844px) 100vw, 844px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>Then, wait for people to join. You will have to admit them into the room as they arrive. Click the options below for details.<\/p>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-87693\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Joining a meeting from Brightspace (for students)<\/strong><\/h4><div id=\"ac-87693\" class=\"c-accordion__content\">\n<p>Students who are a members of a Brightspace course site will be able to join meetings created within the site.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Log into your Brightspace course<\/li><li>Locate and click on the Webex link (typically located in the navigation bar or within the content tool). <\/li><li>Find the meeting you wish to join on the list of <strong>Upcoming<\/strong> <strong>Meetings<\/strong>, and click <img decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/06\/Join.png\" alt=\"\">. <\/li><li>The Webex application will direct you through the process of joining a meeting.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-style-default border\"><img loading=\"lazy\" decoding=\"async\" width=\"884\" height=\"387\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/06\/studentView.png\" alt=\"\" class=\"wp-image-10797\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/06\/studentView.png 884w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/06\/studentView-300x131.png 300w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/06\/studentView-768x336.png 768w\" sizes=\"auto, (max-width: 884px) 100vw, 884px\" \/><\/figure>\n\n\n\n<p><strong>NOTE:<\/strong> Participants will not be able to join a meeting until it has been launched the host. If not, Webex will start taking you through the process of joining the meeting.<\/li><\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-87696\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Joining with a URL<\/strong><\/h4><div id=\"ac-87696\" class=\"c-accordion__content\">\n<p>If you only receive a url to join a meeting, you likely have been asked to join someone&#8217;s &#8216;Personal Room&#8217; in Webex.&nbsp;This is a meeting space typically used for unscheduled, ad-hoc meetings.&nbsp;The url will likely look something like <a href=\"https:\/\/mun.webex.com\/meet\/USERNAME\">https:\/\/mun.webex.com\/meet\/USERNAME<\/a>.&nbsp;Make sure that the url starts with <a href=\"https:\/\/mun.webex.com\">https:\/\/mun.webex.com<\/a>.&nbsp; <\/p>\n<\/div><\/div>\n\n\n\n<p><\/p>\n\n\n\n<p class=\"has-background\" style=\"background-color:#d9f0fe\"><strong>NOTE<\/strong>: You do not need to have a WebEx account to join a Webex meeting. You will be asked to provide your name during the process of joining the meeting. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Tools commonly used in a Webex session<\/h2>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-87697\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Participant Tool<\/strong><\/h4><div id=\"ac-87697\" class=\"c-accordion__content\">\n<p>The participant tool <img decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/Participant-2.png\" alt=\"\">  is used to view the list of participants in your meeting. This tool has several other features you may find useful when hosting a meeting.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Raised hand<\/strong>: A participant has the ability to raise their hand. If a participant has raised their hand, the <img decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/hand.png\" alt=\"\">image will appear next to their name.<\/li><li><strong>Mute a participant<\/strong>: As the host, you have the ability to mute a participant. To mute a participant, select the <img decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/hotmic.png\" alt=\"\">button to the right of their name. <\/li><li><strong>Private chat<\/strong>: If you want to send a private chat message to a participant, select them on the participant list and click<img decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/chatbubble.png\" alt=\"\">to the right of their name. The chat panel will appear with their name selected. <\/li><li><strong>Making Presenter<\/strong>: To make a participant the presenter, select their image bubble to the left of their name. You will be prompted to confirm the new presenter.<\/li><li><strong>Type of device<\/strong>: The participant list can tell you the type of device a participant is connecting with. There are two types of chats you can have. <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Everyone<\/strong>: Use this type when you want everyone to see the text you want to send.  <\/li><li><strong>Private<\/strong>: Use this type when you only want one person to see the text you want to send.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-style-default border\"><img loading=\"lazy\" decoding=\"async\" width=\"371\" height=\"247\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/chattool.png\" alt=\"\" class=\"wp-image-9345\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/chattool.png 371w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/chattool-300x200.png 300w\" sizes=\"auto, (max-width: 371px) 100vw, 371px\" \/><\/figure>\n\n\n\n<ol class=\"wp-block-list\"><li>Messages sent to everyone will appear here. To set up breakout sessions in your Webex session, follow the steps below.<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>Launch your Webex session.<\/li><li>In the menu at the top of the meeting window, click <strong>Breakout Sessions<\/strong>.<\/li><li>Make sure that <strong>Enable Breakout Sessions<\/strong> is selected. Participants can be added in one of two ways:<ul><li>In the <strong>Not Assigned <\/strong>section, select the names of the participants you want to put in a group. Click <strong>Move to Session<\/strong> and select the breakout session to which you want to add them. Repeat until all participants have been assigned.<\/li><li>In the <strong>Breakout Sessions<\/strong> section, hover over the session to which you want to assign members and select <strong>Assign<\/strong> from the options that appear. Select participants from the list that displays, and they will be automatically added to the group. If you are not ready, you can close the <strong>Breakout Session Assignments<\/strong> window and launch the sessions later. To do so, go to the top menu in the Webex meeting window, clicking <strong>Breakout Sessions<\/strong>, then <strong>Start All Breakout Sessions<\/strong>.<\/li><li>When you want to bring everyone back to the main Webex room, click <strong>End All Breakout<\/strong> <strong>Sessions<\/strong>. Otherwise, breakout sessions will end automatically after the amount of time you scheduled them for in Step 9.<\/li><\/ol>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-87699\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Polling<\/strong><\/h4><div id=\"ac-87699\" class=\"c-accordion__content\">\n<p>The polling tool allows you to create questions to pose to your participants during the meeting.  There are three question types available<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Multiple choice &#8211; Single Answer<\/li><li>Multiple choice &#8211; Multiple Answer<\/li><li>Short answer. <\/li><\/ol>\n\n\n\n<h6 class=\"wp-block-heading\"><strong>&gt; Creating a question<\/strong><\/h6>\n\n\n\n<ul class=\"wp-block-list\"><li>Choose your question type.<\/li><li>Press <strong>New<\/strong>.<\/li><li>In the <strong>Poll Questions<\/strong> section, enter your question. <strong>Note<\/strong>: the short answer type will not require possible options. The multiple choice types will.<\/li><li>In the <strong>Answer<\/strong> section, choose <strong>Add<\/strong>.<\/li><li>Enter your possible answers. Your question should start taking shape in the <strong>Poll Questions <\/strong>section.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-resized is-style-default border\"><img loading=\"lazy\" decoding=\"async\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/mcquestion.png\" alt=\"\" class=\"wp-image-9347\" width=\"278\" height=\"235\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>The Webex Polling tool requires a length of time with which the poll will be available answer. To specify the this time and whether or not the timer is displayed to participants, select <strong>Options&#8230;<\/strong> in the <strong>Answers<\/strong> section.<\/li><li>When you are ready to present your poll question to your participants, select <strong>Open Poll<\/strong>.<\/li><li>Your Polling panel will switch to reporting mode.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-style-default border\"><img loading=\"lazy\" decoding=\"async\" width=\"377\" height=\"434\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/pollreport.png\" alt=\"\" class=\"wp-image-9351\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/pollreport.png 377w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/04\/pollreport-261x300.png 261w\" sizes=\"auto, (max-width: 377px) 100vw, 377px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>The responses will be updated as people answer questions. <\/li><li>Select <strong>Poll results<\/strong> in the <strong>Share with attendees<\/strong> section if you want to share the responses with your participants.<\/li><\/ul>\n\n\n\n<p><strong>Note:<\/strong> If you are creating a <strong>Short answer<\/strong> question, and you want to see the responses, make sure to select <strong>Record individual responses<\/strong> in the <strong>Answer<\/strong> section. Otherwise, you will only see <strong>Not started<\/strong>, <strong>In progress<\/strong> and <strong>Finished<\/strong>.  When the short answer question is closed, select the <strong>Individual results<\/strong> link in the <strong>Share with attendees<\/strong> section to review the answers.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-876910\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Sharing Content<\/strong><\/h4><div id=\"ac-876910\" class=\"c-accordion__content\">\n<p>Webex has the ability for the meeting host to share content. This content could be an application open on your desktop, a web browser or some other media. Here are the steps required to start sharing in your meeting:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Select <strong>Share <\/strong>from the menu bar on the top of your screen.  <\/li><li>Select what you wish to share<ul><li><strong>Content <\/strong>&#8211; prompts you to choose a desktop application to share<\/li><li><strong>Web Browser<\/strong> &#8211; loads a new tab in the default browse<\/li><li><strong>Media <\/strong>&#8211; ask for a URL (youtube, etc.)<\/li><li><strong>Meeting window<\/strong> &#8211; shares the meeting window<\/li><\/ul><\/li><li>The Webex meeting window will reconfigure to include what you have shared. You will see a new menu bar above what you are sharing.<\/li><li>When you are done sharing, press <img loading=\"lazy\" decoding=\"async\" width=\"127\" height=\"56\" class=\"wp-image-8839\" style=\"width: 127px;\" src=\"http:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/webexsharing-2.png\" alt=\"\">.  <\/li><\/ol>\n\n\n\n<p><strong>Note<\/strong>: You may want to confirm with attendees that they can see what you are sharing. This will help ensure that it is working as expected.<\/p>\n\n\n\n<p>While you are sharing something, you will see a new menu bar appear in the meeting. This new menu bar will only be available while something is being shared. If the item you are sharing is maximized full screen, this new menu bar will often auto hide off the top of the screen. Moving the mouse to the top of the screen will make the menu appear. Once you press <strong>Stop Sharing<\/strong>, the menu bar will disappear.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"723\" height=\"59\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/webexsharing.png\" alt=\"\" class=\"wp-image-8835\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/webexsharing.png 723w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/webexsharing-300x24.png 300w\" sizes=\"auto, (max-width: 723px) 100vw, 723px\" \/><\/figure>\n\n\n\n<p>Menu Items:<\/p>\n\n\n\n<p><strong>Stop Sharing<\/strong>: Press this when you are done sharing. Once stopped, the meeting window will revert back to its configuration before you started sharing.<\/p>\n\n\n\n<p><strong>Pause<\/strong>: If you want to pause sharing for a few moments, press &#8216;Pause&#8217;. The meeting participants will stop seeing the what you have shared until you press &#8216;Resume&#8217;.<\/p>\n\n\n\n<p><strong>Share<\/strong>: If you want to change what you are sharing, use the share button and select something different.<\/p>\n\n\n\n<p><strong>Assign<\/strong>: Webex has the capability to assign elevated access to the meeting.<\/p>\n\n\n\n<p><strong>Mute Me<\/strong>: This button mutes your audio.<\/p>\n\n\n\n<p><strong>Video<\/strong>: Controls whether you are displaying your video.<\/p>\n\n\n\n<p><strong>Recorder<\/strong>: Lets you record the meeting, either in the cloud or to your computer.<\/p>\n\n\n\n<p><strong>Participants<\/strong>: Display the participant list window which shows everyone in your meeting, and allows you to see their capabilities. It also allows you to mute or remove participants.<\/p>\n\n\n\n<p><strong>Chat<\/strong>: Displays the chat window which will allow you to send text messages to all participants or to an individual.<\/p>\n\n\n\n<p><strong>Annotate<\/strong>: Enables the annotation tool. Please visit our annotation resources for more details. <\/p>\n\n\n\n<p><strong>More<\/strong>: Displays other information about the meeting.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-876911\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Document Annotation<\/strong><\/h4><div id=\"ac-876911\" class=\"c-accordion__content\">\n<p><strong>Annotation <\/strong>is a Webex feature that allows the host to mark up a documents that is being shared in a meeting. This could be used to emphasize a part of the screen or add something that is missing. A participant in a meeting could also request or be asked to mark up the document being shared.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>To annotate something you are sharing, select <strong>Annotate <\/strong>in the sharing toolbar.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"858\" height=\"54\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Annotate.png\" alt=\"\" class=\"wp-image-8855\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Annotate.png 858w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Annotate-300x19.png 300w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Annotate-768x48.png 768w\" sizes=\"auto, (max-width: 858px) 100vw, 858px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>This will provide you (the host) with the capability to mark up what you are sharing. Webex will provide you with a new floating tool bar with markers, text boxes and shapes. This will disable the tool and give you back control of the other meeting tools.<\/li><\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-pb-accordion-item c-accordion__item js-accordion-item no-js\" data-initially-open=\"false\" data-click-to-close=\"true\" data-auto-close=\"true\" data-scroll=\"false\" data-scroll-offset=\"0\"><h4 id=\"at-876912\" class=\"c-accordion__title js-accordion-controller\" role=\"button\"><strong>&gt; Assigning Privileges<\/strong><\/h4><div id=\"ac-876912\" class=\"c-accordion__content\">\n<p>In Webex, the host can to provide elevated meeting access to participants. This feature is available on the Sharing toolbar. Select <strong>Assign<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"858\" height=\"54\" src=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Assign.png\" alt=\"\" class=\"wp-image-8861\" srcset=\"https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Assign.png 858w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Assign-300x19.png 300w, https:\/\/blog.citl.mun.ca\/technologyresources\/files\/2020\/03\/Assign-768x48.png 768w\" sizes=\"auto, (max-width: 858px) 100vw, 858px\" \/><\/figure>\n\n\n\n<p>You will have the option to select one of three options:<\/p>\n\n\n\n<p>1. <strong>Make this participant a presenter<\/strong>: This option gives the selected participant the ability to share presentations, screen\/desktop, or other application. The host has the ability to reclaim the presenter role and any time.<\/p>\n\n\n\n<p>2. <strong>Pass keyboard and mouse control<\/strong>: This option gives a participant control of what the host is sharing. For instance, if the host is sharing an application such as Microsoft Word and provides a participant with this control, the participant can click and edit anything in that Microsoft Word application.<\/p>\n\n\n\n<p>3. <strong>Allow to annotate<\/strong>: This option gives the participant the ability to annotate what the host is sharing. A host could do this to allow a participant to demonstrate understanding of the content being presented.
