This page can act as one big checklist, or you can choose a specific area below and focus on one aspect of your file at a time.<\/p>\n<h2 class=\"wp-block-heading\">Design and Layout<\/h2>\n<ul class=\"wp-block-list\">\n<li>Avoid using watermarks<\/li>\n<li>Balance text and the use of white space on each page<\/li>\n<li>Use the correct heading style (Heading 1: main, Heading 2: section heading, etc.); this can be checked using the Navigation Pane<\/li>\n<li>Headings should be followed by no more than 2-3 paragraphs of content<\/li>\n<li>Use bullet points to avoid long uninterrupted paragraphs<\/li>\n<li>Use numbered lists if the order of items is important<\/li>\n<li>Do not use multiple spaces, lines, or tabs for layout design<\/li>\n<li>Use left-justified margin<\/li>\n<li>Use a minimum of 12-point font size<\/li>\n<li>Use sans serif font such as Arial, Comic Sans MS, Courier New, Georgia, Tahoma, Veranda, or Franklin Gothic<\/li>\n<li>Use bold text for emphasis<\/li>\n<li>Avoid the use of italic, underline, and all capital letters together<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Figures and Media<\/h2>\n<ul class=\"wp-block-list\">\n<li>Insert figures using the &#8220;In line with text&#8221; function<\/li>\n<li>Diagrams and pictures should be large enough to easily see details<\/li>\n<li>Provide written descriptions using the &#8220;Alt text&#8221; function<\/li>\n<li>If the image contains text, repeat the text exactly in the Alt Text description or adjacent content<\/li>\n<li>For decorative images, write &#8221; &#8221; (double quote \u2013 space \u2013 double quote) in the Alt Text title and description. This tells screen reader software to skip over the image instead of describing it.<\/li>\n<li>Provide captioning or transcripts for video clips and text transcripts for audio clips<\/li>\n<li>Avoid using orange, red, and green in your graphs or objects<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Tables<\/h2>\n<ul class=\"wp-block-list\">\n<li>Correctly define column headers in the first row of a table<\/li>\n<li>Use the Tab key to move through the table cells<\/li>\n<li>The tab order of cells should match the table appearance<\/li>\n<li>Avoid using tables for layout<\/li>\n<li>Avoid using blank columns and rows for visual formatting<\/li>\n<li>Avoid merging or splitting cells<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Content<\/h2>\n<ul class=\"wp-block-list\">\n<li>Give the document a descriptive title<\/li>\n<li>Use headings that match the information that follows<\/li>\n<li>Give every hyperlink a meaningful and descriptive display text and avoid meaningless phrases such as &#8220;Click here&#8221;, and &#8220;Learn more&#8221;<\/li>\n<li>Use short sentences and straightforward messages<\/li>\n<li>Do a spell and grammar check<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Contrast and Colour<\/h2>\n<ul class=\"wp-block-list\">\n<li>Use dark font on light background or light font on dark background<\/li>\n<li>Never use colour alone to convey information; use text or other visual presentations in addition to colour<\/li>\n<li>If using colour, ensure high contrast<\/li>\n<li>Avoid using orange, red, and green in your graphs or objects<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Saving and Printing<\/h2>\n<ul class=\"wp-block-list\">\n<li>Avoid printing on glossy and colored paper<\/li>\n<li>Save the file as a .docx document<\/li>\n<li>Give the document a descriptive file name<\/li>\n<li>Verify the document fully passed the Accessibility Checker<\/li>\n<\/ul>\n<p><strong>Exporting to PDF<\/strong><\/p>\n<ul class=\"wp-block-list\">\n<li>Export, rather than print, to PDF in order to preserve tags and other accessibility features or settings.<\/li>\n<li>In order to create the desired tags during PDF export, the following must be observed:<\/li>\n<\/ul>\n<p><strong>Word for Windows<\/strong><\/p>\n<ul class=\"wp-block-list\">\n<li>Select \u201cFile\u201d \u2192 \u201cExport\u201c \u2192 \u201cCreate PDF\/XPS\u201d\n<ul class=\"wp-block-list\">\n<li>Click on \u201cOptions\u201d<\/li>\n<li>Activate the option \u201cDocument structure tags for accessibility\u201d if it\u2019s not already activated<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>Word for Mac<\/strong><\/p>\n<ul class=\"wp-block-list\">\n<li>Select \u201cFile\u201d \u2192 \u201cSave As\u201d\n<ul class=\"wp-block-list\">\n<li>Select the option \u201cPDF\u201d in the drop-down \u201cFile format\u201d<\/li>\n<li>Activate the option \u201cOptimal for electronic distribution and accessibility\u201d<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>The areas to keep in mind in creating accessible Word documents include: design and layout, figures and media, tables, content, contrast and colour, and saving and printing.
